Urban Practice is seeking a detail-driven FF&E Specification & Procurement Specialist to support the delivery of high-quality, community-focused multifamily housing projects. This position plays a key role in the selection, documentation, procurement, and installation of furnishings, finishes, and equipment—ensuring design intent, durability, cost efficiency, and operational feasibility are upheld throughout the process. The role also includes oversight of procurement accounting, including budget tracking, invoice review, and coordination with finance teams to support project financial health and transparency. Strong presentation skills, including oral and written communication skills. Working knowledge of interior design and architectural design documentation standards and best practices. Willingness to learn new software as required. Understanding of FF&E bidding processes.

Responsibilities

• FF&E Specification & Documentation
o Develop and maintain comprehensive FF&E specifications, finish schedules, and product cut sheets tailored to multifamily project needs.
o Align all specifications with budget, durability, accessibility, and brand/design standards.
o Prepare specification books and sample packages for client approval and construction documentation.


• Procurement & Vendor Coordination
o Manage the entire FF&E procurement lifecycle—from product sourcing and vendor negotiations to order tracking, delivery scheduling, and punch-list coordination.
o Coordinate with purchasing agents, contractors, and vendors to ensure timely and accurate delivery of all items.
o Maintain detailed procurement schedules to align with project milestones.


• Procurement Accounting & Budget Oversight
o Oversee the accounting aspects of FF&E procurement, including:
 Tracking procurement budgets and reconciling with actual vendor quotes and invoices.
 Reviewing and processing vendor invoices for accuracy and contract compliance.
 Coordinating with internal finance teams to ensure timely payment, reporting, and documentation.
 Maintaining procurement logs and financial tracking documents for internal and client reporting.
o Assist with change orders, pricing updates, and reconciliation at project closeout.


• Quality Assurance & Standards
o Implement quality control measures to ensure all specified and purchased items meet
Urban Practice’s standards for performance, code compliance, and resident experience.
o Conduct post-installation reviews and gather feedback to inform product standards and future specifications.
o Contribute to the development and maintenance of FF&E standards libraries and best practices documentation.


• Project Team Integration
o Collaborate closely with project architects, interior designers, and developers to align FF&E selections with broader project goals.
o Provide procurement status updates during project meetings and coordinate with construction teams to support smooth installations.
o Support punch list completion and resolve procurement-related issues on-site as needed.


• Direct communication with consultants and clients.


• Travel as required for meetings and FF&E installs.

Qualifications

Required Experience:

o 8+ years of experience in relevant procurement or dealership environment
o 4+ years of experience in multifamily FF&E design and procurement
o Proven experience managing all FF&E phases for new construction and renovation projects.
o NCIDQ certificate preferred, but not required.
o Demonstrated ability to manage procurement accounting, including budgets, invoices, and reconciliation.
o Familiarity with multifamily product performance requirements, accessibility guidelines (ADA/Fair Housing), and fire/safety code compliance.
o Excellent organizational skills, attention to detail, and ability to manage multiple projects and priorities simultaneously.


Required Education/Training:

Bachelor’s degree in Interior Design, Interior Architecture, or equivalent education and experience.

 

Required Skills and Abilities:

• Strong knowledge of FF&E Specification/procurement platforms (SpecSources, Spexx, Gather, etc)
• Working knowledge of 3D BIM software (ArchiCAD or Revit), SketchUp, Enscape, the Adobe Creative Suite, Bluebeam Revu, and Microsoft Office
• Building codes and guidelines as applicable (ADA, FGI, etc.)
• Programming
• Contract documents
• Field observations and measurements
• Life safety requirements
• Furniture and interior product specifications
• Furniture bid packages
• Construction contract administration
• FF&E Cost estimates and calculations

 

Working Conditions:

● Overnight travel as required for project execution
● Possible on-site office for projects as needed
● Work varied shifts, including weekends and holidays
● Car rental as required during travel
● Willingness to travel to project site via air and ground transportation
